This policy applies to CLEAN BEST GROUP PTY LTD (ABN 84 700 040 553), trading as Clean Best, of 54 Columbia Rd, Seven Hills NSW 2147. It covers this website, cleanbest-commercialcleaning-matraville.com.au, and the personal information we handle when you enquire about, or receive, cleaning services.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We only collect what we need to quote for, arrange and perform a clean. When you submit the quote form on this website, that is your first name, last name, phone number, email address, the service you selected, the time you prefer to be called, and — if you choose to give them — the address of the site and a message describing what you need.

If you become a client, we also hold the information needed to run the job: the site address, access and security arrangements, a contact name and number, the agreed scope, the schedule, and billing details. Where we clean a strata property, a school or a childcare centre, we may also hold the induction and compliance records that the site itself requires us to keep.

We do not collect sensitive information as defined by the Privacy Act, and we do not ask for it. Please do not send it to us. We do not collect payment card details through this website.

The quote form, and what happens to it

The quote form on this site does not store anything on this website. It transmits your submission to a third-party form-handling service operated by our developer, which emails it to us at hello@cleanbestgroup.com.au. From that point the information sits in our email system and in our job records.

The form also carries a hidden anti-spam field that is invisible to people and only ever filled in by automated bots. If it is filled in, the submission is discarded. It collects nothing about you.

How we use it

We use your personal information to reply to your enquiry, to book and attend the free walkthrough, to prepare a written quote, to perform the cleaning you have engaged us for, to invoice you, and to contact you about the work — for example, to tell you that a scheduled run is going to be late.

We do not sell personal information. We do not rent, trade or otherwise supply it to third parties for their own marketing. We will not add you to a marketing list because you asked us for a quote.

Who we disclose it to

We disclose personal information only where it is necessary to do the job or where the law requires it. In practice that means: the cleaner and supervisor assigned to your site; our email, form-handling and accounting providers; our insurer or legal advisers if there is a claim; and any government body or court where disclosure is required by law.

Some of those service providers store data on servers located outside Australia. Where that is the case, we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.

Cookies and analytics

This website does not set advertising cookies and does not run cross-site tracking. Our hosting provider records standard server logs — including IP address, browser type and the pages requested — which are used to keep the site running and secure. If we later add analytics, this policy will be updated before we do, and this paragraph will say so.

How long we keep it

Enquiries that do not become jobs are kept only as long as they are useful, and are then deleted. Client records are kept for as long as we are working for you and afterwards for the period required by tax, insurance, employment and work health and safety law. When a record is no longer needed for any of those purposes, we destroy it or de-identify it.

Keeping it secure

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification and disclosure. Access to client records is limited to the people who need them to do their work. Site access details — keys, codes and alarm information — are treated as confidential and are held only by the cleaner assigned to your site and their named supervisor. No system is perfectly secure, and we do not claim otherwise.

Accessing and correcting your information

You can ask us what personal information we hold about you and ask us to correct it. Email hello@cleanbestgroup.com.au or call 1300 494 983. We will respond within a reasonable period, and normally within 30 days. We do not charge for an access request. If we refuse access or refuse to correct something, we will tell you why in writing.

Complaints

If you think we have mishandled your personal information, tell us first. Email hello@cleanbestgroup.com.au with the details, or call 1300 494 983 and ask for the person handling privacy complaints. We will acknowledge your complaint and give you a written response.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner, which is the independent regulator for privacy in Australia.

Changes to this policy

We may update this policy from time to time. The current version is always the one published on this page, and the date at the top of the page shows when it last changed.
